Hour Zero to Twelve: Safety and Emergency Mitigation

Once it is safe to access the property, the priority is preventing additional damage. This means tarping exposed roof sections, boarding broken windows, removing standing water from interior spaces, and shutting off utilities to compromised buildings. Florida insurance policies require the insured to take reasonable steps to mitigate further loss, failing to do so can void coverage on subsequent damage.

The contractor performing emergency mitigation should provide a written scope, photo documentation, and an itemized invoice. Save everything, this becomes part of the claim package.

Hour Twelve to Twenty Four: Documentation

While emergency mitigation is in progress, document everything. Walk every building exterior with date and time stamped photos and video. Capture roof damage from drone footage if possible. Document interior damage in every affected unit with the owner present where feasible. Photograph debris, fallen trees, signage damage, pool enclosures, perimeter fencing, and any covered amenity.

This documentation is the foundation of the claim. Insurers and their adjusters will request specific photo proof for every line item.

Hour Twenty Four to Forty Eight: Carrier Notification and Adjuster Engagement

Notify the insurance carrier promptly, ideally within 24 hours. The carrier will assign an adjuster, who may take days or weeks to physically inspect depending on the storm's regional impact. Do not wait for the adjuster to begin documentation, your evidence is the basis for negotiation when the adjuster arrives.

Many condo associations engage a public adjuster or restoration contractor experienced with insurance work at this stage. The contractor or public adjuster meets the carrier's adjuster on site, walks the property together, and ensures all damage is captured in the carrier's scope of loss.

Week Two to Six: Scope of Loss and Estimate Negotiation

The carrier will issue a scope of loss and a damage estimate, often using Xactimate. Compare line by line against the contractor's independent estimate. Disputes typically center on roof system age and depreciation, opening protection (impact windows changed), code upgrade triggers, and matching of replacement materials.

For condo associations, the master policy typically covers the building exterior and common elements. Unit owners' HO-6 policies cover the interiors. The board's claim is on the master policy, individual unit owners file their own claims for interior damage.

Coordinating With Unit Owners

Communicate frequently with residents during a storm claim. Provide weekly written updates covering claim status, expected repair timelines, and what residents should be doing on their HO-6 claims. Establish a single point of contact (usually the property manager) for resident questions to keep the board from being inundated.

Reconstruction Phase

Once the claim settles or reaches an agreed scope, reconstruction begins. The contractor coordinates with the insurance carrier on supplements (additional damage discovered during work), with the property manager on tenant communication and access, and with the building department on permits and inspections. For tile roof reconstruction, expect timelines extending six to twelve months due to material lead times.
